The 4 problems we see most often:
Leads get lost in WhatsApp
Nobody knows who was called and who wasn't.
Replies come hours later
By then the competitor has already called.
People don't show up
No reminders, no win-back.
Ads optimise blind
Meta doesn't know who actually signed up.
How a lead moves through the system

A lead arrives
Ad form, website, WhatsApp, Instagram DM.
- 02
It's filtered
With questions on budget, goal and timing.
- 03
It's passed on instantly
An alert on your team's phone, a first message to the person.
- 04
An appointment is booked
Calendar plus automatic reminders.
- 05
The sale closes
Tracked stage by stage in the sales pipeline.
- 06
It's fed back to the ads
Through CAPI, Meta and Google find people similar to those who bought.

What the system delivered:
What is a CRM and why does a small business need one?
A CRM is a system that keeps all your prospects' and customers' details, conversations and sales stages in one place. In small businesses, leads are usually scattered across WhatsApp chats, inboxes and Excel files; nobody knows who was called, who got a quote or who missed their appointment. A CRM brings this together and makes the next step for each lead visible. It matters more as the team grows, but it actually saves the most time for small teams, because it automates repetitive work like reminders and first messages. In our CRM consulting we first map your sales process, then build the system around it, not the other way round.
How fast should you reply to a lead?
As fast as possible; ideally within the first few minutes. The person who fills in the form is interested right then and has most likely contacted several businesses at once. The first business to reply gets the advantage of starting the conversation and earning trust. A call made hours later often goes unanswered, or the person has already spoken to someone else. Your team doesn't need to be by the phone at all times: instant alerts, an automatic first message and a calendar link make sure the person gets a reply even when nobody is free. Then the team calls prepared, having seen the answers to the filter questions. Measuring response time regularly is the simplest and most effective improvement here.
What does the Meta Conversion API (CAPI) do?
The Meta Conversion API is the server-side connection that tells Meta what people from your ads did next. The browser pixel can't capture every event because of cookie restrictions and ad blockers; CAPI closes that gap. More importantly, it can also send events that happen in the CRM: the fact that a lead booked an appointment or signed up flows back to the ad system. Meta then tries to find people similar to those who actually became customers, not just those who filled in a form. The same logic can be set up on Google. CAPI setup is the basic step that takes your ads out of blind optimisation and connects them to sales data; the data sent must be collected in line with data protection law.
Will AI replace the sales team?
No; it doesn't replace the sales team, it makes it faster. The AI assistant summarises the incoming lead, classifies it by its answers and suggests replies to your team. That way the salesperson knows what the person wants before calling and spends time on the best leads. In high-ticket services, decisions usually rest on trust, and that trust is built in a conversation with a person. So in the default setup a human has the final say; the AI talking to customers on its own is only switched on if you want it and the limits are clearly drawn. Set up properly, the team does less repetitive work and focuses more on sales calls. If you want to strengthen call skills, pairing this with sales training gives the best result.
Services most often used together
CRM and automation: frequently asked questions
Which CRM do you use?
GoHighLevel. Your team uses it on phone and desktop.
Who owns the data?
You do. Your customer list can be exported at any time.
Does it work with WhatsApp?
Yes. It works with WhatsApp Business; automatic AI replies require the WhatsApp API.
Does the AI talk to my customers on its own?
Only if you want it to. By default it gives your team a summary and reply suggestions; a human has the final say.
Is it compliant with data protection law?
Explicit consent and a privacy notice are added to the forms. Your lawyer approves the legal text.
How much does the service cost?
Fees depend on the scope of the work and your goals. In a free 30-minute call we clarify what you need and send you a written proposal. We charge no setup fee. Your ad budget is always separate and paid directly to Meta or Google; we never touch that money.
How many leads went unanswered last month?
